The BLKMGK ICT Boards and Committees Portal utilises SharePoint workspaces to provide a "one stop shop" for all information relating to a particular board or committee. It is a very useful tool to help you manage and distribute information amongst your board members and can be fully customised to provide the same look and feel of your organisation.

The Problem:
When designing our solution we looked into three common complaints amongst board and commitee members:

• Members were tired of their inboxes being flooded with emails about out of session discussion items
• Often volunteers that do not have access to an organisation's file server required documents to be emailed out to them. If the attachments were large, it took time to send files and also time to download them via email.
• Board Chairs all valued effective communication amongst their board members and required a solution that distributed information quickly to relevant parties.

Our Solution:
Using our Board and Committees Site, members can log into the portal and view meeting agendas, action items, new announcements and hold discussions about various topics without having to receive floods of email for simple decisions and correspondance.

From an administration point of view, once all set up, there is very little to do. The board or committee secretary can upload meeting agendas and minutes into the various document libraries, add events to the site and post announcements. Members log into the portal to access this information without having to worry about sifting through hundreds of emails to find a particular piece of information.

Members can also view information regardless of where they are and the information is accessible from any web browser. Information only needs to be updated in one central source and it is very easy to maintain.
